Assistant practice manager – Tweed
The purpose of the position is to organise appointments, maintain patient records, supervise receptionists, and perform other administration tasks that ensure smooth and efficient functioning of reception by also providing an exceptional standard of care to our patients.
Responsible for assisting the Practice Manager with the operational leadership of all practice functions, and the achievement of business growth, goals and strategies will be done through the support and development of the team.

Staff Training
- Implement training and induction of receptionists.
- Assist with creating user guides and resource material to ensure the continuous development and high performance of receptionists, and at time also the nurses.
Supervisor
- Ensure the specific tasks of reception are carried out by receptionists.
- Provide support to assist receptionists to resolve issues.
- Provide exemplary behaviours to receptionists.
- Active in team building, delegation of tasks, and conflict resolutions.
Finances
- Assist with and oversee daily banking and petty cash.
- Assist with patient billings enquiries.
- Do contractor pays and billings.
- To submit doctors’ hospital payment sheets, private and Wedgetail billings when necessary.
- Bill for cremation certificates.
- Chase up outstanding patient fees.
- Process WorkCover invoices and reports and other patient remittance advice.
- Attend to doctors billing queries and follow up with Medicare.
Administration
- Review and improve reception processes to ensure smooth and efficient functioning, high quality services and continuous improvement.
- Assist with vaccination clinics.
- Attend to workers compensation claims and solicitor requests.
- Update HotDoc.
- Update Website.
- Maintain staff birthdays and organise cake etc.
- Coordinate staff farewells and events.
- Maintain appointment books, i.e., set up appointments, block off holidays, etc.
- Maintain patient information, mark inactive or deceased patients and follow through closing activities.
- Assist with practice accreditation and monitor and maintain practice activities to ensure continuing eligibility for accreditation.
- Set up Wedgetail patients.
- Order stationary, kitchen supplies, uniforms etc.
Other Duties
- To participate in general staff meetings and events.
- To attend training sessions in-house and external courses when required.
- Undertake other ad hoc duties as required as directed by the practice manager, nurses, and doctors.
- Maintain knowledge of, and comply with, workplace health and safety principles including infection control.
- To attend to all Medical Student requirements, ensuring sessions are arranged accordingly.
- Check suggestion box.
- To attend to relevant rosters, ensuring they are always up to date.
- Check Proda for Medicare numbers, care plan eligibility etc.
- Liaise with IT team on behalf of team when necessary.
- Accept and document Covid vaccines deliveries.
- Cover reception when needed.
